Using the audio integration feature

Setting your default call-back information as a host.

  1. Log into your WebEx account
  2. Select My WebEx --> My Profile.
  3. Enter the appropriate information with your preferred contact details. Remember to select the “Call-back” option for those numbers to be available when you want the system to dial out to you.

Schedule a meeting with audio integration using the WebEx Meeting Manager Console

You can schedule a meeting which uses audio integration either via the WebEx Meeting Manager Console or via Microsoft Outlook.

  1. Schedule your meeting online using the WebEx Meeting Manager Console
  2. Select the Change Audio option.
  3. change audio option
  4. Select the MeetMe account which is linked to your WebEx account.
  5. Select whether you want your participants to dial in or receive a call back.
  6. Click on Save as Template for future use. You will then be able to select this template from Outlook when scheduling future meetings that require audio integration.

Dial out to yourself and other participants

Using WebEx audio integration, you can dial out to yourself (host and participants) or to the participants invited to your meeting (host only):

  1. From the Join Teleconference dialog box:
    1. Select Country/Region
    2. Enter the number to call
    3. Click OK

When you connect to the WebEx session, you will see an audio indicator next to the name of the party’s name.

Inviting a participant by phone

  1. In the Participant menu, select Invite > By Phone.
  2. Invite a participant by phone
  3. Enter the name to display.
  4. Enter the country/region.
  5. Enter the telephone number to call.
  6. Select Call.
  7. Invite by phone - call button

Once the participant connects to the conference, select one of the following:

  • Select Conference to keep the invited participant in the conference
  • Selecting Hang Up, Close or will hang up the participant

Muting and unmuting participants

Hosts can mute themselves, individuals, or all participants in three ways:

  1. Right click on the participant's name and select Mute
  2. Select the participant’s name from the participant list and then select Mute from the Participant menu
  3. Select the participant’s name and then select the Mute button

Once the participant is muted, a ‘Muted’ icon (Mute icon) appears.

You can unmute participants in two ways:

  1. Right click any participant and select Unmute or Unmute All
  2. Select a participant and then select Unmute or Unmute All from the Participant menu

Note: Participants can mute and unmute themselves following the instructions above.

Hosts can also set their WebEx conference to mute participants on entry into the conference.

  1. Select Mute on Entry from the Participant menu to mute participants as they join

Expel unwanted participants

Hosts can expel unwanted participants from their WebEx meetings:

  1. Select the participant to be expelled.
  2. Select Expel from the Participant menu.
  3. You will be asked to confirm that you wish to expel the participant. The participant will be expelled from both the audio and WebEx sessions.

Restrict / restore access

The host can also Lock and Unlock the conference to restrict and restore access.

To restrict access: Select the Meeting menu, then Restrict Access.

To restore access: Select the Meeting menu, then Restore Access.

Unlock conference

Selecting Restrict Access and Restore Access restricts and restores access to both the audio and web portions of the conference.
